Your Online Tutor — Terms of Service


1) Cancellations & No-Shows

Cancelling a lesson

  • Less than 24 hours’ notice: full lesson fee applies
  • More than 24 hours’ notice: we may offer a reschedule (depending on availability)

No-shows

If your child doesn’t attend and we haven’t received notice by email, the lesson is treated as a no-show and the full fee applies.

Technology issues

If a lesson can’t go ahead due to internet, device, platform or login issues on your end, the lesson is still chargeable (as these issues are outside our control).


2) Late Arrival (Student)

Lessons start and finish at the scheduled time.

  • If your child joins late, the lesson still ends at the normal time
  • The missed time is lost
  • The full lesson fee still applies

Repeated lateness may result in lessons being discontinued.


3) If Your Tutor Is Late / Unavailable

We take punctuality seriously.

  • If we’re late by up to 10 minutes, we will make the time up on the same day where possible
  • If we’re late by more than 15 minutes, the session will be cancelled and you’ll be offered either:
    • a credit on your next invoice, or
    • the option to reschedule (subject to availability)

We’ll do our best to notify you as soon as possible via email.

If we cancel due to illness or emergency, the same applies — reschedule if possible, or a credit.


4) Rescheduling Limits

Rescheduling is not guaranteed and depends on tutor availability.

To keep scheduling fair:

  • each family may request up to 1 reschedule per term
  • additional requests may be treated as cancellations (24-hour policy applies)

5) Payment Policy

Invoices are issued monthly in advance.

  • Payment must be received at least 48 hours before the first lesson of the billing cycle
  • If payment is late, all future lessons are paused/cancelled until payment is received
  • We are not required to hold your regular weekly time slot if invoices remain unpaid

Payment Schedule:

  • Tutoring fees are charged fortnightly in advance.
  • Payments must be received at least 48 hours before the commencement of each fortnight’s lessons.

Payment Methods:

  • Preferred: Bank Transfer transfer to the nominated account.
  • Alternative: Credit card via PayPal (PayPal invoice will be issued).

Late or Missed Payments:

  • Sessions may be paused until payment is received.
  • Any bank or transaction fees are the responsibility of the payer.

6) Communication Policy

To keep things organised and professional:

  • all communication must be via email only
  • we reply within up to 3 business days
  • messages via SMS, social media, or verbal requests are not considered official

8) Ongoing Cancellations, Disruptions & Ending Services

We aim to keep tutoring consistent and productive for every family.
If cancellations, lateness, non‑payment or disruptions become ongoing, we may suspend or end services in line with our Agreement.

Ending Services (Termination Policy)

Either party may end tutoring services under the following conditions:

Parent/Guardian Ending Services

Parents/Guardians may end services by providing 14 days’ written notice via email.
Lessons scheduled during the notice period remain payable.
If lessons have been paid for beyond the notice period, the unused portion will be refunded.

Ending Services

We may end or suspend services:

  • by giving 14 days’ written notice, or
  • immediately, where necessary, including situations involving:
    • ongoing cancellations, lateness, or non‑payment
    • unsafe, abusive, or inappropriate behaviour
    • repeated breaches of our policies or Agreement
    • child safety concerns
    • unauthorised recording
    • behaviour that prevents effective teaching

Survival of Key Terms

Clauses relating to liability, indemnity, privacy, child safety, nondisparagement, and payment obligations continue to apply after services end.

Communication Method

All notices to end services must be sent via email, in line with our Communication Policy.
